Choose Intercom Fin AI Agent if conversational support, workflows, and external helpdesk handoff matter more than a lightweight inbox. Choose Freshdesk Freddy AI Agent if Freshdesk will be your helpdesk system of record and you can manage session-pack AI billing. Choose Zendesk AI agents if you need a broader ticketing platform with structured AI governance. Choose Gorgias AI Agent if you are a Shopify-centered ecommerce brand that wants commerce-aware automation. The tradeoff across all five is the same: AI can reduce repetitive replies only when your knowledge base, handoff rules, and billing controls are maintained.
This guide defines “best” by fit, not by a universal score. We did not test these tools hands-on, run accuracy benchmarks, or verify vendor claims with independent customer data. Research check date: 2026-10-01.
Before comparing vendors, separate two ideas. An AI assistant helps a human support agent write, summarize, or find information. An autonomous customer agent responds directly to customers and may count billable outcomes, resolutions, sessions, or automated interactions. A startup replacing a shared inbox usually needs the helpdesk first, then should add the autonomous layer only where the knowledge and escalation path are ready.
How we selected these tools
This is documentation-based research. We read official product documentation, help-center articles, and pricing pages, then selected five products that can plausibly replace or sit in front of a shared support inbox while offering customer-facing AI automation.
The selection favors tools with documented grounding sources, human handoff behavior, integrations, and usage-based AI pricing. The limitation is important: documentation does not prove real-world answer quality, customer satisfaction, setup time, or total cost in your account. Vendor-reported “resolution” or “outcome” definitions are billing and product metrics, not independent proof that a customer was happy.
We also excluded unsupported claims, third-party pricing speculation, and unverified rankings. Where pricing documentation was uncertain or conflicting, the uncertainty stays next to the affected product.
Help Scout AI Answers: an inbox-first option
Help Scout AI Answers
Best fit: Inbox-first startups that want a low-friction move from shared email to a helpdesk, with AI answering common questions from maintained documentation.
Grounding: Help Scout AI Answers can use Help Scout Docs, public websites, public knowledge bases, PDFs, Word files, spreadsheets, and manually added improvements as knowledge sources, according to Help Scout documentation (Help Scout AI agents knowledge sources).
Handoff: Guardrails can tell the AI to step back for billing disputes, account investigations, sensitive escalations, or judgment calls (Help Scout AI Answers best practices).
Integrations: Help Scout publishes broad helpdesk and app integration support on its pricing page, but we could not verify every plan-specific entitlement, so confirm the required integrations before buying (Help Scout pricing).
Cost: Help Scout AI Answers is documented at US$0.75 per AI resolution, billed monthly, with ordinary Help Scout subscription costs additional. A billable resolution is counted when AI Answers replies and the customer does not ask for more help; Help Scout says billing is once per AI Answers session (Help Scout AI resolution pricing). We could not verify a consistent base-plan quote in this review; confirm your seat subscription separately.
Constraint: External sources other than Help Scout Docs need manual resync when content changes, which matters when pricing, policies, or product behavior changes (Help Scout source maintenance guidance).
Intercom Fin: conversational support and handoff workflows
Intercom Fin AI Agent
Best fit: Startups that want a conversational support front end with strong escalation rules, workflows, and the option to hand unresolved conversations to another support tool.
Grounding: Fin can use Intercom articles, internal articles, snippets, websites, PDFs, Zendesk articles, Confluence, Guru, Notion, Salesforce, and Freshdesk as knowledge sources. Intercom says macros are not available to Fin, only to Copilot (Intercom Fin knowledge sources).
Handoff: Fin has default and configurable escalation behavior for human requests, frustration, repeated loops, and other cases (Intercom Fin escalation guidance). Workflows and data connectors can also create tickets in external tools, but API failures or missing collected data can produce failed or incomplete handoffs (Intercom external handoff documentation).
Integrations: Fin is strongest for teams already considering Intercom as the customer messaging layer. Advanced routing, private help center features, and Workflows may depend on plan availability, so validate the plan before assuming a low-tier deployment will cover your escalation design (Intercom plans explained).
Cost: Fin outcomes over chat and email are documented at US$0.99 per outcome for Resolution, Procedure handoff, Disqualification, and Self-serve routing; Sales Qualification is documented separately at US$9.99 (Intercom Fin outcomes). Fin bills service outcomes including configured Procedure handoffs. Ordinary escalation is not automatically the same billable event unless it matches the documented outcome definition. Confirm the applicable Intercom subscription or external-helpdesk minimum commitment separately.
Constraint: Intercom says AI models may occasionally give incorrect answers, and Fin can struggle with incorrect terminology, long or complex first messages, one-word replies, and rapid consecutive messages (Intercom Fin FAQ).
Freshdesk Freddy: email automation with session-based billing
Freshdesk Freddy AI Agent
Best fit: Teams that want Freshdesk as the helpdesk, with Freddy AI Agent usage priced separately in session packs rather than per-message AI usage.
Grounding: Freddy AI Agent can use configured knowledge sources such as URLs, files, Freshdesk solution articles, custom Q&As, and connected apps including Google Drive, SharePoint, and Confluence, according to Freshdesk documentation. Public/static and file restrictions apply (Freshdesk AI Agent knowledge sources).
Handoff: Freshdesk documents fallback behavior that can send a message, run a workflow, or transfer to a human agent. Workflows can include human handoff for judgment, empathy, compliance, or out-of-scope cases (Freshdesk conversation behavior).
Integrations: AI Agent Studio supports no-code workflows, API actions, and Freshdesk ticket actions (Freshdesk AI workflows). Freshworks also lists broad customer-service integrations, but that broader list is not proof that every integration is prebuilt for Freddy AI Agent workflows (Freshworks integrations).
Cost: Freshdesk documents Freddy AI Agent packs at US$49 per 100 sessions, its support article says new customers purchasing Growth, Pro, or Enterprise receive a one-time 500 complimentary sessions (Freshdesk Freddy AI add-ons). Confirm your base helpdesk subscription separately: Freshdesk and Freshdesk Omni are different products.
Constraint: Email AI Agent is available in Freshdesk and Freshdesk Omni, but Chat AI Agent is available only in Freshdesk Omni (Freshdesk AI Agent session article). Previewing AI agents consumes sessions, unused sessions do not roll over, and the AI agent stops responding when sessions are exhausted (Freshdesk AI Agent Studio FAQ).
Zendesk AI agents: structured ticketing and channel operations
Zendesk AI agents
Best fit: Startups that want to move from a shared inbox into a more structured ticketing and support operations platform, with AI agents governed through Zendesk support channels.
Grounding: Zendesk AI agents require at least one connected knowledge source before setup can continue (Zendesk AI agent creation). Zendesk documents external sources including Zendesk and Freshdesk help centers, Salesforce, Confluence, SharePoint, Google Drive, web-crawled content, CSV or Markdown files, Box, Dropbox, Jira, HubSpot, Helpjuice, WordPress, and ReadMe (Zendesk external knowledge sources).
Handoff: Zendesk supports escalation options for unhelpful or fallback replies, and email/web form setup includes an escalation message for human follow-up (Zendesk AI handoff setup). After handoff, the AI agent no longer responds in that conversation until Zendesk’s documented handback conditions are met (Zendesk handoff and handback).
Integrations: Zendesk supports messaging, email including API and web form, and voice for AI agents, but each AI agent can interact on only one channel type, and only one AI agent can be active on a given channel endpoint (Zendesk channel limits).
Cost: Zendesk public pricing documents Support Team at US$19 per agent per month annually or US$25 monthly, Suite Team at US$55 annually or US$69 monthly, and Suite Professional at US$115 annually or US$149 monthly (Zendesk pricing). Zendesk also says AI usage is based on automated resolutions, with plan-specific included allowances and additional usage charges (Zendesk AI pricing details). Because Zendesk introduced newer automated-resolution tiers on 2026-05-18, older account documentation is conditional and exact unverified AI unit pricing should not be blended across models (Zendesk automated resolution tiers).
Constraint: Zendesk AI agents do not search live data or the public internet in real time. They use imported or synchronized knowledge sources (Zendesk knowledge-source limits).
Gorgias AI Agent: support for Shopify stores
Gorgias AI Agent
Best fit: Shopify ecommerce brands that want a helpdesk plus AI automation for post-purchase support and pre-purchase shopping questions.
Grounding: Gorgias AI Agent uses brand knowledge such as help center articles, website content, documents, guidance, product information, and Shopify order and fulfillment data (Gorgias AI Agent explained).
Handoff: Gorgias documents handoff for anger, explicit human requests, sensitive topics, configured handover topics, and low-confidence or insufficient-knowledge answers (Gorgias AI handoff settings). For chat, shoppers who request personal details such as order history authenticate by email or SMS before AI Agent can answer (Gorgias AI Agent on chat).
Integrations: Gorgias publishes 100+ app integrations, including Shopify, Shopify Plus, BigCommerce, Klaviyo, Attentive, Recharge, Loop, AfterShip Returns, Aircall, and Yotpo (Gorgias apps). AI Agent actions can work with connected commerce tools, but actions are configurable and must be added to skills or guidance before use (Gorgias AI Agent actions).
Cost: Gorgias says AI Agent is billed per AI-resolved interaction, not per seat, message, or token (Gorgias AI Agent pricing explainer). Confirm the applicable AI allotment, billing cadence and overage rate before calculating your marginal cost. The Gorgias billing help article says a helpdesk ticket fee and an automation fee can both apply to the same ticket when the ticket is entirely resolved by AI Agent without human intervention (Gorgias billing help article). The pricing explainer says you are not charged for both, while this billing help article describes cases where both charges can apply. Confirm which definition applies to your account before forecasting spend.
Constraint: AI Agent Chat documentation requires a Shopify store connected to Gorgias and says AI Agent is not supported on stores using BigCommerce, Magento, or WooCommerce for that setup (Gorgias AI Agent Chat requirements).
Total-cost equation for AI support
For a startup leaving a shared inbox, total cost is not just the helpdesk subscription. Use this equation:
Total monthly cost = seats or platform plan + AI usage + required add-ons + human escalation work + admin and knowledge maintenance time.
AI usage units are not comparable across vendors. Help Scout counts an AI resolution only when AI Answers responds and the customer does not ask for more help (Help Scout resolution billing). Intercom bills documented Fin outcomes such as Resolution and configured Procedure handoff (Intercom Fin outcomes). Freshdesk uses sessions with 24-hour chat and 72-hour email windows (Freshdesk session packs). Zendesk uses automated-resolution concepts that vary by account generation and tier model (Zendesk resolution tiers). Gorgias marketing describes AI-resolved interactions, while its billing help article defines automated interactions and describes cases where helpdesk-ticket fees also apply (Gorgias billing definitions).
As arithmetic only, not a forecast: 500 Help Scout billable AI resolutions at US$0.75 would be US$375. 500 Intercom Fin service outcomes priced at US$0.99 would be US$495. 500 Freshdesk Freddy AI Agent sessions at US$49 per 100 sessions would be US$245. These units are not equivalent, base subscriptions are additional, and these examples do not assume any deflection rate, resolution rate, or customer satisfaction outcome.
How to run a 14-day pilot before replacing the shared inbox
Run a short pilot before committing your main support queue. This is an editorial recommendation, not a vendor feature claim and not an executed test.
Start with redacted historical tickets. Include ordinary questions, missing-documentation questions, changed-policy questions, “I want a human” requests, angry users, authentication-sensitive requests, refund or billing disputes, and edge cases where the correct response is to refuse or escalate. If the tool has a preview mode, verify whether previewing consumes usage. Freshdesk, for example, documents that previewing AI Agents consumes sessions (Freshdesk AI Agent Studio FAQ).
Test offline behavior and usage-cap behavior. Help Scout documents spending limits that disable AI Answers in Beacon when reached (Help Scout AI spending limits). Intercom documents usage reminders and hard limits (Intercom Fin usage controls). Freshdesk says the AI agent stops responding when sessions are exhausted, with handoff behavior depending on deployment method (Freshdesk exhausted-session behavior).
Measure audited correct answers, successful handoffs, reopened tickets, human correction effort, knowledge-base edits required, and total spend. Do not measure only deflection. A conversation that did not escalate may still be wrong, incomplete, or frustrating. Assumed resolutions are not proof of customer satisfaction.
A practical pilot schedule
- Days 1-3: Pick one repeatable support topic, redact customer data, establish the human-answer baseline and name an owner for the knowledge source.
- Days 4-7: Run offline cases. Check incorrect answers, missing evidence, policy changes, human requests and failed handoffs. Correct the content and routing before exposing customers.
- Days 8-11: If the offline cases meet your criteria, enable a small, supervised slice of that topic. Keep account-access disputes and sensitive actions with people. Record billable usage and the work humans still do.
- Days 12-14: Review actual transcripts, reopened tickets, customer feedback and total cost against your baseline. Expand only when correctness and handoff quality are acceptable to your team; stop or narrow the scope if they are not.
Set your acceptance criteria before the pilot. There is no universal safe deflection target, and a small pilot does not establish a statistically reliable accuracy rate.
When to keep the shared inbox a little longer
Do not buy AI support software just because the shared inbox feels messy. Keep the shared inbox temporarily if your team cannot yet write down the answers it gives every day, if policies change weekly, if most tickets require account-specific investigation, or if no one owns the knowledge base.
The fastest improvement may be operational rather than technical: tag the last 200 tickets, identify the top 20 repeat questions, write clear help-center articles, define refund and escalation rules, and create saved replies. Once those answers are stable, an AI customer agent has something reliable to use.
This matters because every product here depends on configured knowledge. Help Scout requires maintenance and manual resync for non-Docs sources when content changes (Help Scout maintenance guidance). Intercom says external public URL content is updated weekly, while native Intercom content is ingested almost instantly (Intercom knowledge freshness). Zendesk says AI agents use imported or synchronized information rather than real-time internet search (Zendesk source limits).
